Hello, and welcome to Affinity’s Privacy Policy. This will tell you everything you need to know who we are, what data we use and how we use it.

Who we are

Firstly, let us introduce ourselves. We are Affinity Supply Co., a business registered as Heriot Pte Ltd in Singapore (Registration number 202027440H). Our registered address is 160 Robinson Road, #14-04 Singapore Business Federation Centre, Singapore 068914 (“Affinity”)

When we talk about “Us”, “We” or “Affinity” we are referring exclusively to ourselves and no other persons or organisations.

Purpose of this privacy notice

This privacy notice aims to give you information on how Affinity collects and processes personal data through the use of this website and any data you may provide when you use our services.

It is important that you read this privacy notice together with any other privacy-related notice(s) we may provide on specific occasions (such as research participant consent forms) so that you are fully aware of how and why we are using your personal data.

The data we collect about you

Personal data, or personal information, means any information about an individual from which that person can be identified. This includes visual, voice and biometric data.

Here at Affinity we always treat your personal information in a safe and secure manner and always for the reason for which it was obtained in the first place.

We can receive personal data via the following methods;

  • Register for Marketing Material– You can subscribe to receive marketing information from us through our website. We would ask for your Name, Email address, Contact telephone number (optional). The data you provide will never be used for any other purpose or passed to a 3rd
  • Fulfilment of a contract – As part of our providing services to you we may record personal information such as:
    • Name
    • Address
    • Email address
    • Telephone number
    • Company information.

The legal basis for retaining this information is; the processing is necessary for a contract you have with the individual, or because they have asked you to take specific steps before entering into a contract.

And/or

the processing is necessary for your legitimate interests or the legitimate interests of a third party unless there is a good reason to protect the individual’s personal data which overrides those legitimate interests.

Research Participation

As a participant in one of our research sessions you can be asked to provide any of the following:

  • Name
  • Address
  • Email address
  • Financial information (such as bank details)
  • Visual Data (such as photographs or video participation)
  • Voice

The information required is unique to each research session and as such participants are required to complete a separate consent form which details exactly what information is required and how it will be used.

The personal information may be shared with the 3rd party that has commissioned the research but will be anonymised as much as possible.

Personal Data collected for research will not be used for any other purpose.

Applying for a job within Affinity

If applying for a position with Affinity you may be requested to submit a CV containing Personal Information through our website. This information may include:

  • Name
  • Address
  • Email address
  • Telephone Number
  • Social Media credentials
  • Employment history
  • Education

On occasion Affinity may decide to retain the submitted information for consideration again any future positions that may become available. The Personal Data will not be retained for a period longer than 6 months from the date of submission, or erasure requested by the data subject.

This Personal Data will be held securely and not used for any other purpose.

Website Analytics

As you interact with our website, we may automatically collect Technical Data about your equipment, browsing actions, location and patterns. We collect this personal data by using cookies, and other similar technologies. For further information please refer to our cookies policy on the website

Your Data Subject rights

As a data subject you have a number of rights to control how and when your data is used.

You have the right to:

Request access to your personal data (commonly known as a “data subject access request”). This enables you to receive a copy of the personal data we hold about you and to check that we are lawfully processing it.

Request correction of the personal data that we hold about you. This enables you to have any incomplete or inaccurate data we hold about you corrected, though we may need to verify the accuracy of the new data you provide to us.

Request erasure of your personal data. This enables you to ask us to delete or remove personal data where there is no good reason for us continuing to process it. You also have the right to ask us to delete or remove your personal data where you have successfully exercised your right to object to processing (see below), where we may have processed your information unlawfully or where we are required to erase your personal data to comply with local law. Note, however, that we may not always be able to comply with your request of erasure for specific legal reasons which will be notified to you, if applicable, at the time of your request.

Object to processing of your personal data where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground as you feel it impacts on your fundamental rights and freedoms. You also have the right to object where we are processing your personal data for direct marketing purposes. In some cases, we may demonstrate that we have compelling legitimate grounds to process your information which override your rights and freedoms.

Request restriction of processing of your personal data. This enables you to ask us to suspend the processing of your personal data in the following scenarios: (a) if you want us to establish the data’s accuracy; (b) where our use of the data is unlawful but you do not want us to erase it; (c) where you need us to hold the data even if we no longer require it as you need it to establish, exercise or defend legal claims; or (d) you have objected to our use of your data but we need to verify whether we have overriding legitimate grounds to use it.

Request the transfer of your personal data to you or to a third party. We will provide to you, or a third party you have chosen, your personal data in a structured, commonly used, machine-readable format. Note that this right only applies to automated information which you initially provided consent for us to use or where we used the information to perform a contract with you.

Withdraw consent at any time where we are relying on consent to process your personal data. However, this will not affect the lawfulness of any processing carried out before you withdraw your consent. If you withdraw your consent, we may not be able to provide certain products or services to you. We will advise you if this is the case at the time you withdraw your consent.

How do you request to action these rights?

You can ask us to action these rights at any time and we have 1 month to comply with the request.

The simplest way to do this is by emailing [email protected] with details of the request. We will then verify your identity and action your request.

Third Parties

We also act as ‘Data Processors’ for third party ‘Data Controllers’ for example when a third party commissions us to carry out research we will collate personal information about research participants on the third parties behalf.

We may be required to share some of this personal information with the third party.

We would only share personal data that was absolutely necessary and personal information will be anonymised where ever possible.

We have the appropriate technical and organisational measures in place to ensure any data being shared between ourselves and a third party is carried out completely securely.
